1. Lock the commercial identity before quoting

Ask whether the order is a sample, trial, stock order or production replenishment. The answer changes the useful packing, paperwork and delivery conversation.

Package selection should consider the customer’s receiving equipment, warehouse space, expected consumption and climate. Keep the package description consistent across the quote, order confirmation and shipping documents. If the buyer will split bags for resale, agree how lot identity will remain visible after repacking.
For long-distance handling, inspect outer packaging, pallet stability and marking before release. These are logistics checks, not claims about final application performance.

4. Give the importer a receiving sequence
- Photograph the shipment and package condition on arrival.
- Count packages and compare them with the packing list.
- Record lot references before bags are moved or split.
- Store sealed material according to the grade document and local warehouse practice.
- Hold any damaged or unidentified package for review.
This sequence helps a small importer act like a reliable supplier to its own customers. It also creates a clear starting point if a later application trial produces an unexpected result.
5. Ask questions that prevent a second shipment error
- Will the customer receive the whole lot or split it among several buyers?
